Job Title: Executive Assistant

Pay: $70,000 – $80,000 annually (based on experience)

Job Description:

We’re seeking an experienced Executive Assistant to provide high-level administrative support to the CEO and assist with board-related activities. This is an excellent opportunity for someone who thrives in a small, fast-paced environment and enjoys handling a variety of responsibilities with minimal micromanagement.

Key Responsibilities:

• Serve as the primary administrative support for the CEO, handling day-to-day scheduling and communications.
• Coordinate board meetings, including travel arrangements, accommodations, agenda preparation, and on-site logistics.
• Manage expense reporting and invoicing processes, including data entry in Bill.com and tracking in Excel.
• Prepare and distribute meeting materials and maintain online board software with accurate, up-to-date information.
• Assist with annual registration processes for members and ensure compliance with deadlines.
• Support CEO with special projects and organizational initiatives.
• Travel as needed for board meetings and annual events (including some weekends).

Qualifications:

• 3+ years of experience as an Executive Assistant or Senior Administrative Assistant.
• Proficiency in MS Office Suite; experience with Concur or Bill.com a plus.
• Strong organizational skills and attention to detail.
• Ability to manage multiple priorities with professionalism and discretion.
• Excellent communication skills and a customer-service mindset.

Additional Details:

• Schedule: Monday–Friday, 8:00 AM–5:00 PM.
• Some travel required (including occasional weekends).
• Reports directly to the CEO and works closely with an engaged board of directors.
